How to edit existing media(graphics, PDF)

<< CMS Users Guide Index

Checking out

First, determine the URL of the media asset that you want to edit. The easiest way to accomplish this is to go to the web site and copy the relative path to the asset that needs editing (relative refers to everything after the domain name.). Here is an example of the portion of the URL from the properties of an image that you would want to copy (to get to the properties of an image, just right click on it):

Element Properties

Once you have the path, go to the CMS, expand the MEDIA WORKFLOW section(if it is not already expanded), and click on Find Media. This will open the Search Screen.

Paste(or type, if you prefer) in the relative path to the file that you are looking for, and hit enter (or click the Search button).

NOTE: The default search is very simple: just enter a title, URL or keyword and click Search. Enter "/" to search for all stories. Use SQL LIKE wildcards such as "%" to generalize your search.

This search will present you with a list of media that matched your search string, like so:

If the story is not checked out to another user or in a different workflow, select the "Checkout" checkbox and click the Checkout button at the bottom of the page to check out the story and move it to your workspace. If you have already checked it out, click Edit to access its profile.

Once you select “Checkout”, you are presented with the Story Profile Screen. This is where you edit the contents of the story, by editing its elements and adding new ones. Each story type has its own set of Elements—some are automatically included and some are optional.

NOTE: For a comprehensive explanation of all of the fields on the page, you should click the Help button at the top-right corner of the page.

Editing

To update the document, enter the path the file(or use the Browse… button) and .

NOTE: If you are replacing an existing document, and you do not want to have to update the pages referring to it, you need to ensure that the name of the file that you are going to upload is the same as the name of the file that you are replacing.

Some important things for every image:

  • Title: The title attribute of the image in the page, which is displayed when you hover over the image in many browsers and is looked at by search engines.
  • Description: The alt tag attribute of the image in the page, which is displayed when the image is missing (or loading) in many browsers and is looked at by search engines.
  • Categories: Where the image is stored on the site. If the image is related to multiple categories, then it will be placed in multiple places on the site.
  • Keywords: Not generally used for images.

Saving

When you are finished editing the media, you should select , and then follow the URI link to preview your work. If you are happy with the result, use the button to place your work on the appropriate desk. If you want to preserve your work for later editing, then click the button and the document will be placed on your workspace.
